Your First Sale
A walk through raising one sale bill, start to finish. It assumes your user and permissions, items, a party and a document series already exist, and that you have opening stock or a purchase entered for the item.
1. Open the Sales form
The form opens in Display Mode showing the last sale. Nothing can be changed yet.
2. Start a new bill
- Select the document series for the bill.
Add Newstays disabled until a series is chosen. - Click Add New. The screen changes colour to show you are in New Entry Mode.
It shows only if your user has the Add permission for Sales. See User Permissions.
3. Choose the party and check the header
Pick the party and check the date and series. The information panels warn you about the party — for example a credit limit or licence problem. What each panel and colour means is in Entry Time Information.
4. Add item rows
For each item:
- Select the item. Typing narrows the list, and its stock, batches and last rates appear as you go.
- Fill in batch, quantity, rate and discount.
- Press Add (
F12) to put the row in the bill.
To correct a row, click it in the grid, change it and press Change (F11). To remove it, press Delete (F10).
If the party wants an item you cannot supply in full, mark it short with F8 — see Short Items.
5. Save
Press Save (F9). The bill is stored and the form returns to Display Mode.
If Save does nothing, look at the Limit box and the status bar at the bottom of the screen: they list the reason. See Why a Button Is Disabled.
6. Print or send
In Display Mode, use P/Dialog (F9), Print, EMail or WApp on the completed bill. See Print Dialog.
What next?
