Frequently Asked Questions

Using the program

I can't see the Add New or Edit button on a screen.

Those buttons show only if your user has the permission. Ask whoever manages users to check your permissions — see User Permissions. For sales there are extra restrictions described in Permissions and Locks.

How do I check what a user is allowed to do?

Use Menu › File › Feature Permission to see the permissions on a feature, or User Permission to see them for a user. Details: User Permissions.

What does the "?" in the corner of a screen do?

It opens this site on the page for that screen. See Help Link. Screens with no ? do not have a help page yet.

What do the arrows in "Menu › Master › Items" mean?

They show the path to click through in the program's menu. See the Glossary.

Setup and data

Where do I start on a new installation?

Follow the Implementation Roadmap: users and permissions, primary masters, opening stock, purchase, then sales.

A manufacturer has several divisions. How do I set that up?

Create the group as a manufacturer with no items, then make each division point to it. See Manufacturer Divisions and Groups.

How do I group my parties by area?

Use Collection Groups.

Outstandings

How far back does bill-wise outstanding go?

The current financial year plus two previous ones. Older balances must be carried in the opening balances of the accounts. See Outstandings.

What is the difference between Receipt by Bill and a receipt on account?

By bill, you settle named bills; on account, the amount is posted to the party and older entries are treated as settled first. See Outstandings: By Bill or On Account.

Accounts

Ledger or New Ledger — which one should I use?

Both are fully supported. They differ only in how GST is posted: Ledger moves it monthly with the GST Posting Wizard, New Ledger splits it bill by bill. See Ledger Methods.

How do I move to a new financial year?

Use Period Close. Take a backup first. See Period Close and Maintenance.

Add-ons and licence

Is barcoding an add-on I have to buy?

No. It is included and is switched on under Set Defaults; the only cost is your own scanner and printer. See Bar Codes.

Which features need separate activation?

The mobile apps, e-invoice system, field entry, collection entry, Pick/Pack/Deliver, institutional orders and the retail billing app. See Optional Add-ons at a Glance.
