Item Status

Everything about one item on a single screen: what came in, what went out, and what stock is left, batch by batch. Use it to answer "do we have it?", "when did we last buy it and from whom?" and "who bought this batch?" without running separate reports.

Picking an item​

The left side holds the item list.

  • Narrow it with Mfr (with Div to restrict it to one division instead of the whole manufacturer group), the Description box, or by typing in the item box and clicking Reload List. * is a wildcard, and a space matches any text between words.
  • Only Used (on by default) hides items that have never had any stock entry. ByShrt searches by short name; F2 toggles it.
  • Type in the search box above the list to jump to a name; the up and down arrow keys move through the list.
  • Click Load Details (or double-click the item, or tick Auto to load as soon as you select). The Load Details button turns pink when the item selected is not the one on screen.

The heading shows the item name and package, manufacturer, description, location and HSN with its tax rate. Mfr is Group appears when the manufacturer is a group and not a single division.

The three lists​

  • Inward – opening stock, purchases, purchase challans, purchase returns and expiry stock, oldest first: date, party, batch, expiry, MRP, scheme %, HSN, tax and quantity (free quantity as +n).
    • HSN and tax cells are orange when the bill's HSN differs from the item master's, which is a quick way to spot a wrongly entered purchase.
    • The party and entry cells are yellow for stock that is not yet saleable: a purchase whose Recd On date is blank, or one marked No Sale (see Purchase Entry).
  • Stock – the batches in stock with MRP and quantity, and the total. Tick All Batches to include batches that are used up.
  • Outward – sales, sale returns, consumption and transfers. Narrow them to one Party or a Date range; Show Exp Date adds the expiry of the batch supplied. Lines that reduce stock (for example a purchase return) are shown in red.

Select any line in Inward or Outward and the strip under it shows that document's details: number and date, expiry, MRP, cost or trade rate, scheme and discount, taxable value, gross value, net rate per unit, and the margins on MRP. Double-click a line to open the bill.

Following one batch​

Tick Filter Batch, then select a batch in the Stock list. Inward and Outward are reduced to that batch, with the quantity totals beneath each list, so you can see where this batch came from and who it went to. Untick to see everything again.

  • Item Master – open the item.
  • Item Register – the item's full register of entries.
  • Purchase List / Sale List – the list of purchase or sale lines of this item.

Dashboards and their companions: Barcode Status shows the same picture by barcode, and Item Search finds an item by properties other than its name.
