Field Entry
Lets a salesman capture a new outlet, or propose updates to an existing party, from the mobile app while they're standing in front of the shop — phone number, license numbers, GPS location, and photos. None of this touches your account records directly: it lands in a review queue, and an office operator decides what actually gets saved.
In the Field
From Party Card on the app, the salesman taps either:
- Update, with a party already selected — proposes new Phone, License No. 1, and License No. 2 for that party.
- Add Party — captures the same details for a shop that isn't in dsGST yet, plus Address, City, GSTIN, and State so the record is usable as soon as it's accepted.
Either way, the app also grabs the phone's GPS location and lets the salesman attach one or more photos of the shop/license before submitting. Submission needs a live connection — like the rest of the app, nothing is queued for later if the signal drops partway through.
Reviewing on the Desktop
Opens a list of everything salesmen have submitted, newest first. Use the date range and the Status dropdown (Pending / Approved / Rejected / All) to narrow it down — it opens on today's Pending entries by default. Select a row to see the full detail: the submitted values, GPS location, who submitted it and when, and any attached photos.
Accepting or Rejecting the Party Details
What happens next depends on whether this is an update to an existing party or a brand-new outlet:
- Update to an existing party — the panel shows the salesman's proposed Phone/License 1/License 2 next to the party's current values, each with its own Accept checkbox (pre-checked only where the proposed value actually differs from what's on file). Click Update to push just the checked fields straight into the account — nothing else about the account is touched. If you uncheck everything, nothing is written and the entry stays Pending.
- New outlet — click Approve and the standard Account Master entry screen opens, pre-filled with everything the salesman captured. Review it like any new account and save — only once it's actually saved does the field entry get marked Approved and linked to the new account.
Reject is available for either kind, with a confirmation prompt — it marks the entry Rejected and leaves your account records untouched.
A Show Ac Master shortcut on the panel jumps straight to that party's account (or a blank new-account form, for a not-yet-approved new outlet) if you want to look something up without leaving the review screen.
Reviewing Photos
Photos are reviewed separately from the party details above, and on their own schedule — you don't have to decide on the photos to approve or reject the entry, or the other way around. Step through a submitted entry's photos with Prev/Next, and use the Photo Status filter to show only Pending, Accepted, Discarded, or all of them.
For each photo:
- Accept moves it into permanent storage against that party — from then on it's kept regardless of what happens to the field entry itself.
- Discard removes it.
Once a photo's been accepted or discarded, it can't be viewed inline any more (a stamp shows which happened instead) — Open File Explorer still gets you to it: for an accepted photo it opens straight to that party's saved photos.
A photo can only be accepted for a party whose account already exists — for a new outlet, that means approving the outlet itself first.
